New spots open

One place to run your club, week after week.

Everything a season runs on, in one system: practices, fees and guardian updates. We set every club up by hand, so we open a limited number of spots each season.

Spots open this season

Every club is configured by hand with the people who will use it, which is the only reason the number of spots is limited. The call is where we work out whether one of them is yours.

Why clubs move onto Scoutlor

Not because the software is clever, but because the week stops being held together by memory, a notebook and a group chat.

The day to day

The week to week running of a club

Four areas of the work that comes back every week, plus one optional plugin for the few weeks a year you run a competition. Your groups, your paperwork, your fees and your calendar, set up the way the club already works.

Players training around the goal under floodlights on a rainy evening

Practices and notifications

The week the club actually runs on: who trains when, who turned up, and everybody told the moment something moves.

  • Training sessions, matches and events on one calendar
  • Attendance taken at the session, on a phone
  • Session reminders, moves and cancellations sent to the squad they affect
  • A season view of who is turning up and who is drifting away

Inside the platform

Where the week actually gets easier

Four jobs that come back every week, and what each one looks like once it lives in one place.

The training week

Stop rebuilding the week every Sunday night

The calendar, the squads and the register are the same thing. A coach opens the session on their phone at the pitch, marks who is there, and the office sees it without asking.

Marked at the session
Attendance is taken where the training happens, not copied into a spreadsheet later that night.
Changes go out on their own
A session that moves or gets cancelled reaches the squad it affects, so nobody drives to a locked gate.
The drift shows up early
A season view of who is turning up, so you talk to a family in week four rather than losing them by week nine.

Fees and collection

The chase after payments ends here

Every athlete carries their own fee plan and their own history, so "who has not paid this month" is a screen you look at rather than an evening you spend.

One list, current
Paid, late, partly paid and pending, per squad or across the whole club.
Invoices and receipts from the system
Sent from the platform against the athlete, so the paperwork matches the payment without a second ledger.
The payment methods your families use
Card and local methods, where they are available in your country.

Forms and signatures

The forms get signed before the first session

Registration, consent and medical declarations go to the parent as a link, get signed on the phone they are already holding, and stay attached to the athlete for the season.

No printer, no folder
Nothing to photocopy, hand out at training, collect back and file.
You can see who is missing
A list of who has signed and who still has to, so you chase four families rather than all of them.
Kept where it belongs
Signed documents sit on the athlete record, not in an inbox someone has to search.

Athlete records

Everything about an athlete on one screen

The squad they train with, the guardian to call, what they have signed, what they owe and how often they turn up, without opening four different things.

The guardian beside the athlete
Parent and guardian contacts live on the record, so the right person is reached first time.
Squads that move with the season
Age groups and training groups an athlete can be moved between without being set up again.
Access that fits the role
A coach sees their squads. The office sees the money. Nobody has to share one login.

Built for how a club really runs

Works on any phone

A browser is the whole requirement. Nothing to install, no licences to buy, no device the club has to supply.

Set up by a person

We configure your squads, athletes and fees with you, from whatever list you keep today. You never meet an empty screen.

Parents kept in the loop

Guardians get the schedule, the changes and the forms without creating an account or learning a new app.

Access per role

Coaches, administrators and the director each see what belongs to them, so one shared login stops being the system.

Reads in your language

Eight languages, right to left included, so coaches and parents are not translating a screen in their head.

Your data stays yours

Athlete records, attendance and fee history belong to the club. Export them or ask us to delete them, whenever you want.

Parents and guardians

The parents hear it from the club, not from the group chat

The week, as it stands

Sessions, times and places sent to the guardians of the squad it belongs to, in the app they already read.

A change, the moment it happens

Moved, cancelled or relocated. One message to exactly the families it affects, instead of a thread nobody reads in time.

A form, as a link

Consent and medical declarations open, get signed and come back, without an account and without a printer.

A fee, with a way to pay it

The amount, what it covers and the link to settle it, so a reminder is something a parent can act on.

How it works

From a call to a live club

No procurement process, no implementation fee and no six week project plan. Three steps, and the first one is a conversation.

Book an appointment
Step 1

Book a call

About twenty minutes, at a time that suits you. You tell us how the club runs today and what hurts most.

Step 2

We map how you run today

Squads, age groups, who collects the money and where the lists currently live. This is the part that decides what setup looks like.

Step 3

We set the club up with you

Squads, athletes and fees are configured together, from whatever list you already keep. You do not start from an empty screen.

Goes liveStep 4

Your teams go live

Coaches take attendance, parents get the week as it changes, and you can see who is turning up without asking anyone.

Step 5

We stay with the season

The people who set your club up answer on WhatsApp or email, fix a season when it changes on you, and keep adding what you need.

Integrations

It fits around what your club already uses

Nothing here asks the club to abandon the tools that work. The parts that already do their job stay, and the platform takes over the parts held together by hand.

WhatsApp

Guardians are reached where they already are. No account, no download, no new group to join.

Email

Invoices, receipts and confirmations sent from the platform to the address the family already gave you.

Card and local payments

Collection through the methods families actually use in your country, settled against the athlete record.

Your existing lists

A spreadsheet, an exported group or a paper register: we bring it across with you during setup.

Any phone browser

The device the coach already owns is the terminal. Nothing to install and nothing to keep updated.

The tournaments plugin

Switch it on for the weeks you run a competition, and the squads you already have are the teams.

What we are promising

We will not sell you a season and disappear. Every club on Scoutlor was set up by someone you can still call, and that is the only reason we open a limited number of spots.

What clubs ask us on the call

Straight answers, before you book

Our coaches are not technical.

Marking attendance is one screen and two taps. If a coach can use WhatsApp, they can run a session here.

We already pay for something.

Then tell us what it does well on the call. If it covers the week better than we do, we will say so.

What happens to our data if we leave?

You export it and it is yours. Athlete records, attendance and fee history, whenever you ask.

Can we start with one age group?

That is usually the best way. Run one squad for a few weeks, then move the rest across.

Do parents have to download anything?

No. They get a link. Nothing to install and no account to create.

How long does setup take?

It depends on the lists you keep. We do it with you rather than handing you an empty system.

We run more than one sport.

Good. Groups, sessions, attendance and fees have the same shape in all of them.

Questions

What clubs ask us

Ask us anything else

The call is the honest version of this page: we will tell you what is built, what is not, and whether Scoutlor is wrong for your club.

Is it available now, and how soon can we start?

Yes. What limits us is the setup rather than the software: every club is configured by hand with you, so we open a limited number of spots each season. On the call we agree a start date and which squads go in first.

What does it cost?

It depends on the size of the club and on what you use, so we quote it on the call instead of posting a number that fits nobody. The call itself costs nothing and commits you to nothing.

Do we need computers at training?

No. Everything runs in a phone browser, so a coach marks attendance where the session is and a parent checks the schedule on the way there. There is nothing to install.

Can we move our athlete list over, and start with one squad?

Yes to both. Bring whatever you keep today, a spreadsheet, an exported WhatsApp group or a paper register, and we do the import with you during setup. Running one age group for a few weeks before the rest moves across is a perfectly good way to start.

What support do we get after setup?

A person, not a ticket queue. The people who set your club up stay with it: we answer on WhatsApp or email, fix a season when it changes on you, and keep adding what you need as the year goes on.

Who owns the club data?

You do. Player records, attendance and fee history belong to the club, and you can export them or ask us to delete them at any time.

Do athletes and parents get told when a session changes?

That is the reason the schedule lives in one place. A session that moves or gets cancelled goes out to the squad it affects, so nobody is chasing a WhatsApp thread at seven in the morning to find out whether training is on.

Which sports do you support?

Whichever ones your club runs. The week has the same shape in football, basketball, handball or swimming: groups, sessions, attendance, notifications and fees. Tell us on the call which sports you run and they are set up with everything else.

Where do you work with clubs?

Anywhere. Calls are held in English, and payment methods follow what is available in your country.
